Information we use
Newsletter subscriptions
We record your email address, subscription status and when and how you gave consent. This is used to manage your subscription and send the newsletter you requested. The basis for newsletter marketing is your consent. You can withdraw it by contacting us.
Event submissions
We collect the event details and image you submit, together with the organiser’s name and email address. We use these to review the submission, contact its organiser and publish approved event information. The organiser contact fields are for administration; information you put in an event description or image may become public.
Advertising and business enquiries
We collect business details, website, description, area, contact name, email address and your enquiry preferences. We use these to respond, review applications and manage agreed listings or campaigns. Public listing details are separate from private enquiry contact details.
Messages and site operation
If you email us, we receive your address and the contents of your message. Hosting services also process technical request information, such as IP addresses and error logs, to deliver and protect the website.
Reviewing submissions, answering messages and maintaining a useful, secure guide serve our legitimate interests in running the site. Where an individual enters an advertising contract with us, processing needed to arrange and fulfil that contract is based on the contract. Accounting records may also be needed to meet legal obligations.
Submitting information is voluntary, but we need the required contact and listing fields to handle a submission or enquiry. Please do not include sensitive personal information or private details about other people.
Keeping information
Retention depends on the reason information was collected: whether a subscription is active, whether a submission or enquiry still needs a response, whether a campaign is ongoing, and whether particular records are needed for accounting or a dispute.
Unpublishing or expiring an event or advert does not automatically delete the underlying submission or private contact information. Contact us to request removal. We are reviewing fixed retention periods and deletion procedures; this notice does not promise automatic deletion on a particular date.
Your rights
Depending on the circumstances, you can ask for access to your personal information, correction, deletion, restricted use or a portable copy. You can withdraw consent without affecting processing that took place before withdrawal.
You can object
You can object to processing based on legitimate interests, and you can object to direct marketing at any time.
Email contact@oxfordcityguide.co.uk with your request. We may need to verify your identity. Rights can have exceptions, which we will explain if they apply.
You can complain to the UK Information Commissioner’s Office through the ICO’s complaints service. You do not have to contact us first.
